The Challenge: Scattered Communication and No Central System

The main challenge was having no single source of truth for employee time off, with leave requests scattered across multiple communication channels. Before implementation, processes were disorganized – people would simply forget someone was out on leave.

After rolling out unlimited PTO in January 2022, it became clear within a month that they needed a tool to streamline leave requests. The company also wanted to track how much time off employees were actually taking to see if their new policy was working.

The Solution: Calamari with Slack and Google Integrations

Calamari was the only tool they tested – and they chose it for its attractive pricing and ease of use, implementing it in March 2022.

Traffit appreciated the automatic leave approval process and the ability to customize leave days to match their unlimited PTO policy.

The integration with Slack and Google Calendar – tools the team uses daily – was also important.

Other valuable features included:

  • Various types of leaves and absences available in the system
  • Option to designate a substitute during absence
  • Reports and analytics for tracking leave usage

The Results: Time Savings and Improved Communication

The biggest benefit? HR finally had all the information they needed in one place – no more sending absence reports via email.

When leave is registered, the person's manager is automatically notified. The team also values seeing absence information in their Google Calendar, which they use daily.

Since implementation, we can easily request time off through Slack, which is always at hand, and the manager automatically gets notified both on Slack and via email.

What's also great is that on the day of leave, Slack automatically changes the status to a palm tree emoji, so you don't even have to remember to update it.

The implementation process itself was quick and smooth – all departments now use Calamari regularly.

Validating the Unlimited PTO Policy

Calamari was customized to fit Traffit's unlimited PTO structure. Analytics and absence reports helped verify whether the policy was actually working. After 3 years, the company knows it is – and employees are genuinely using it.

Reports let us see basic data – how much time off a given employee took during a specific period. The reports that clearly show the data we're interested in are also very helpful. Thanks to this, we can quickly let an employee know, for example, that they haven't taken time off in a while and should feel free to plan some vacation.
